Communication Technologies: Reshaping the World of Work

Today’s workplace is changing dramatically as a result of innovative software, super fast wireless networks, advanced technologies which allows workers to share information, work from remote locations and be more productive in or away from the office. Becoming familiar with modern office and collaboration technologies can help you be successful in today’s digital workplace.

Handheld wireless devices:
Most of us can’t even go a day without our mobile devices .A new generation of lightweight, handheld devices provide phone, email, web browsing, and calendar options anywhere there’s a wireless network. A smartphones helps to access and check the customer’s and supplier’s files, complete orders and send out receipts, paying bills without returning to the office.


Video Conferencing:
Video conferencing allows participants to meet in special conference rooms equipped with cameras and television screens. Groups see each other and interact in real time although they may be far apart. It is all by faster computers, better cameras clarity and rapid internet connections. This inculcates competition and expansion of markets globally. Skype, Face-time is used.


Blogs and Podcasts:
A blog is a website with journal entries usually written by one person with comments added by others. Businesses use blogs to keep customers and employees informed and to receive feedback. It helps to know about the taste and preferences of customers. Company developments can be posted, when the writer adds audio the blog becomes podcast.



Telephony: VoIP and Voice Conferencing:
VoIP refers to Voice over Internet Protocol. Savvy Businesses are switching from traditional phone service to VoIP. Telephone “bridges” allow two or more callers from any location to share the same call. Communicators at both ends use enhanced speakerphones to talk and be heard simultaneously.



Presence technology:

Presence technology makes it possible to locate and identify a computing device as soon as users connect to the network. This technology is an integral part of communication devices including cell phones, laptop computers, PDA’s pagers and GPS devices. Collaboration is possible wherever and whenever users are online.

Barriers to Communication

There are numerous barriers to communication that occurs during the communication process. These may be due to misunderstandings and confusions which leads to distorted usages. Sometimes the usages are not conveyed correctly by the inter-mediator. Some of the barriers to communication are as under:


1.     Personal barrier: 
Some personal factors like difference in social values, inferiority complex, bias, attitude, pressure of time, inability to communicate, difference in judgement etc., widen the gap between communicator and the communicatee.

2.     Physical barriers: 
The distance between the sender and the recipient of the message is the crucial obstacle to message. Noise and environmental factors also block communication.



3.     Semantic/Language barriers: 
Semantic is the science of meanings. Sometimes problems occur when the sender and the receiver of the messages use words in different senses as same words have different meanings. The meaning followed by the recipient might be different from what sender wants to convey.

4.     Emotional barriers: 
Many people feel difficult to express their feelings or emotions in front of others.

5.     Organizational structure barriers: 
Information travelling through formal structure causes delay because long lines of communication. The breakdown or distortion in communication arises if the organizational structure is complex.

6.     Barriers due to inadequate attention: 
Inadequate attention arises due to the over business of the communicatee or because of the message being contrary to his expectation and beliefs. Inadequate attentions to the message leads to the misunderstanding of message.

7.     Status barriers: 
Status in the pyramid of an association is one of the major barriers that hinders the open flow of information. Sometime superior only gives certain information to his sub-ordinates so as to keep status variances.


8.     Premature evaluation: 
This type of evaluation distorts understanding and acts as a barrier to effective communication. This takes place due to the tendency of some people who form a judgement before listening to the entire message.

Above all we can say that there are many barriers to communication which leads to distorted messages and misunderstanding.

Teamwork at Workplace

People in workplace perform teamwork when two or more people collaborate their efforts to achieve a common goal. Teamwork enables the achievement of organizational goal efficiently and effectively. Team formation allows employees to make better decisions, faster response, increased productivity, improved employee morale and reduced risks.

     Teamwork provides with generation of new and creative ideas as every employee have its own unique perspective. When running ideas by one and other, there is a lot more scope of creativity in comparison to working on a project alone. Staff members feel confident in suggesting their ideas which helps to build the employees morale.

     Working together lets employees build on the talents of their teammates. Do not hesitate to share your abilities with the team, as responsibilities are distributed accordingly. When each personnel provides its best efforts to the tasks in which he/she is talented leads to increase in productivity and efficiency.

     Relying on people who are working with you builds trust and teamwork establishes strong relationships with the co-workers. Building of trust leads to people work in friendly environment and they will share their ideas and thoughts frankly which will improves the result while working for a common goal.

     As workers are united globally, they follow different ideas, thoughts, religion, values and culture helps to be familiar with different people is also a kind of learning experience for employees. It is an important adage “To be successful in life one should be lifetime learner”.



5.     Encourages Healthy Risk-Taking and sharing Workload: 
    When all group members work for a common objective, the responsibilities are assigned according to their capabilities, workload is shared among different workers. Working as a team allows team members to take more risks, as they have the support of the entire group to fall back on in case of failure, which encourages healthy risk taking.
